Follow these steps to configure the free template for your team in under 30 minutes.
Open the Settings tab and enter each employee's name, role, contracted hours per week and start date. The template auto-populates their name across all sheets. For teams over 15 people, use the bulk-import row to paste from your HR system.
Set the standard working day (e.g. 8h), break deduction rules and overtime threshold. Under UK Working Time Regulations, the default overtime threshold is 48h per week — the template flags any employee approaching this limit automatically.
Define your absence types: Annual Leave, Sick, Unpaid, Bank Holiday, Parental Leave. Each category maps to a colour code in the attendance log. The monthly summary tab automatically calculates holiday balance remaining per employee.
You can either share a Google Sheets version so employees self-report, or have a manager fill it weekly. If using Google Sheets, protect the formula columns to prevent accidental edits. For Excel, save a master copy before distributing.
