Care home time tracking and 24/7 shift planning

NoBadge is time tracking and shift planning software for care homes, clinics and home care providers. Staff clock in at the entrance on a QR kiosk, where the code changes every few seconds, or on a PIN kiosk, and rotas cover days, nights and weekends. NoBadge records working time, not patient data, at €5,04 a month per person who clocks in.

The problem

Why rotas and hours are hard in care

The home never closes. Rotas run around the clock, cover is found at the last minute and the manager's time should go to residents, not timesheets.

Rotas around the clock

Early, late and night shifts, weekends and bank holidays, all built and changed in a spreadsheet that only one person understands.

Last-minute cover

Sickness and holiday changes arrive by phone and message, and nobody is sure which rota is the current one.

Hours added up by hand

Paper signing-in sheets and manual totals carry an error rate of around 15%, worth €1,500–€2,000 a year for a 20–30 person team.

How NoBadge works

A kiosk at the staff entrance, a rota on every phone

Care staff come in through the same entrance, so a QR code time clock or a PIN kiosk on a tablet is enough. No clocking machine, no badges.

  1. Set up a kiosk at the staff entrance

A tablet or PC shows the NoBadge QR code, which changes every few seconds. Staff who do not use their own phone type a personal PIN on the PIN kiosk.

  2. Plan and publish the rota

Shift templates per department or unit, shifts assigned one by one or in bulk, then published: staff are notified on their phone.

  3. Handle changes and leave in the app

Shift change requests and leave requests go to the manager, who approves or rejects them with one tap.

  4. Hours ready for payroll

Hours, overtime and absences per person and per site, exported to Excel in one click.

Clock-in modes

Which clock-in mode for each role in care

Modes are set per site and per person, so the home, the night team and the home care visits can each use the one that fits.

WhoClock-in modeWhy it fits
Nurses and care assistantsQR kiosk at the staff entranceOne clock-in point for every shift; the code changes every few seconds, so a photo soon stops working
Staff without a phone, or who keep it in a lockerPIN kiosk on a shared tabletThey type a personal PIN at the start and end of the shift; no location is recorded
Night staffQR or PIN kiosk at the same entranceThe kiosk works through the night; every clock-in and clock-out is stored with its time
Home care workersGPS with a site for each client addressOne tap at the client's home; a clock-in outside the site area is refused, and the position is stored only at entry and exit
Bank and agency staffQR or PIN kiosk, invited as usersThey only count as active users in months when they clock in

QR and PIN kiosks need a connection, so place the tablet where the home's Wi-Fi reaches. GPS clock-ins for home care work offline and are sent when the signal returns.

Shifts and leave

Rotas, leave and cover in one place

NoBadge cuts attendance admin by around 70%, from about 10 hours a week to 2–3 hours, for a 20–30 person team.

Shift planning

Shift templates per department or unit, a clone-week option for repeating rotas, and staff notified when you publish.

Change requests approved

A staff member asks for a different shift in the app; the manager approves or rejects it.

Leave approval

Holiday, sickness and other absences requested from the phone and approved by the manager, with push notifications.

Who is in today

The live dashboard shows who has clocked in, who has not clocked out and who is on leave today.

Overtime calculated

Hours and overtime totalled automatically by your company's rules; night premiums stay with your payroll.

Several homes, one account

Each home or clinic is a site with its own kiosk and reports, and a site manager can handle one home without full admin access.

UK and EU rules

Night work, rest and staff privacy

Under the Working Time Regulations 1998, UK employers must keep records adequate to show the 48-hour average weekly limit and the night-work limits are respected, and keep them for two years. Night workers must not work more than 8 hours on average in each 24 and must be offered a free health assessment.

  • Rest between shifts: 11 consecutive hours in each 24; shift workers changing shift pattern must get equivalent compensatory rest
  • Reference period: for hospitals, residential care and similar settings, the 48-hour average can be calculated over up to 26 weeks
  • Working time, not health data: NoBadge holds no patient records. Sickness is recorded only as an absence type, so no diagnosis is needed in the app
  • UK GDPR and EU GDPR: data on EU servers, no tracking during the shift, and no location at all with the QR or PIN kiosk

A general overview, not legal advice. Read the Working Time Regulations UK guide and the GDPR and time tracking guide.

FAQ

Care home time tracking: frequently asked questions

At the staff entrance, a tablet or PC runs the NoBadge QR kiosk, with a code that changes every few seconds. Staff scan it with their own phone. Those who keep their phone in a locker, or have none, type a personal PIN on the PIN kiosk instead. Both record the time of every clock-in and clock-out, nights included.

Yes. You create shift templates per department or unit, assign shifts one by one or in bulk and publish the rota; staff are notified on their phone. You can clone a week to repeat a pattern. When someone needs a change, they send a request in the app and the manager approves or rejects it.

No. NoBadge records working time: who clocked in, when and at which site. It holds no patient records. Sickness is recorded only as an absence type, so staff do not need to enter a diagnosis. Data is kept on EU servers, in line with the UK GDPR and the EU GDPR.

Staff request holiday, sickness or other absences from their phone. The manager approves or rejects the request with one tap and the employee gets a push notification. The live dashboard shows who is on leave today, which helps when you need to arrange cover.

Yes. Create each client address as a GPS site. The care worker taps Clock in on arrival, and a clock-in outside the site area is refused. The position is stored only at clock-in and clock-out, never during the visit or the journey. Without signal, the clock-in is saved on the phone and sent later. More on home care time tracking.

€5,04 per active user per month, all features included. You pay after the month, only for people who clocked in: 32 staff cost €161,28; a month with 38 people, including bank staff, costs €191,52. Bank staff cost nothing in months they do not work. See the pricing page.
